    HI,

    Looking for guidance on how to handle physician deficiencies during the current COVID-19 crisis.  As health care organizations prepare for surge, and physicians are working around the clock, sometimes serving as front liners, it is unfortunate that medical record completion is put to the side.  Is there a guideline to re-lax physician suspension in this time?  Any input is greatly appreciated.

    This is a good question and one we addressed several weeks ago. We have opted to continue to track and trend deficiency and delinquency data, however, we are not suspending physicians. Our position is that suspending and service at this time would be detrimental to our care delivery system.  We will work with our Medical Executive Committee when the organization has returned to our 'new normal' and make a decision as to when/how to move back to our regular suspension schedule.

    We are also tracking deficiencies but suspended any fining two weeks ago.  With the recent waivers from CMS and our state on timeliness for record completion we are stopping sending notices to providers regarding their deficiencies starting this week.  We discussed this last piece with physician leadership and felt the letters notifying providers of their deficiencies was frustrating and aggravating and we needed providers to be focused on patient care.

    We also continue to track and do our regular audits but have discontinued reminders and Suspension. We have had to regroup regarding how to handle queries that are needed also. Coding guidelines does not allow for no clarification so play those by ear.

    We continue with chart analysis and our system still assigns electronic deficiencies automatically.  However, we have discontinued deficiency letter distribution and delinquent reporting to Credentials ( We don't suspend).  We still are maintaining statistics on HP, DC Summary, Operative Reports and Consults with regards to timeliness, but we are not reporting these either.

    CMS actually issued a number of blanket waivers yesterday and one of them was relaxing completion of records by physicians.
