    Hello,

    We recently went to a vendor for Release of Information. Previously we have internal staff release all patient directed requests and continuity of care requests and the vendor only did billable. However, now we have a vendor that does all requests. They have a 48 hour TAT 'promise' and don't do STAT requests. So, of course many of our requests aren't actually STAT and we are trying to get these offices into the practice of requesting earlier if at all possible. However, if it truly is a STAT request (from another facility where patient is admitted, patient is in office, patient was an add on seen in our ER the previous day, etc.)  we release it to them internally. So, to my questions

    A. Others with ROI vendors, how do you handle STAT requests? Does the vendor do them or do you release them internally? (I will mention here, the vendor works on billables and doesn't charge for continuity of care requests-if we were paying it would be a different story)

    B. For those who release internally, do you log all requests, even for continuity of care? We previously scanned and logged EVERYTHING in the EMR ROI application but to me it seems built for AOD disclosures, asking if we have a valid authorization, which isn't required for continuity of care yet you have to say yes to proceed and that just bugs me. Sure, we have a written request but it's not an 'authorization' and it is laborious to log requests for continuity of care.

    For your second question, I would definitely log everything; otherwise it will be difficult (I would think) to measure your true volume and work load in this area in the event you need to request and/or justify additional resources.

    We have in-house staff. We separate the requests.  Our ROI team of 3 handles all non stat requests and the 2 receptionists that handles phones are the ROI staff that send the stat ones.  We do not log those in unless it is an office we haven't worked with on a regular basis.

    We log all requests including stats.  The in-house ROI team does it. Though stats are not billed, we gather the data/volume for productivity and justify staffing.
