ROI staff using electronic signatures for records certifications

    Hello all,

We are trying to streamline our workflow and reduce or eliminate paper in the ROI process. One document that we believe can be digitized is certification of records released in response to a stipulation or subpoena. Currently when a certification is requested, we discard the document sent by the requester and use our own MS Word document. Each user enters their own name as the custodian for that disclosure, then prints, wet-signs, and attaches the certification to the records, and the certification is eventually scanned to the patient's chart in the EMR. We would like to eliminate some steps here by obtaining an electronic signature for each ROI staff, using that to sign the certification, and then completing the rest of the process electronically.

Does anyone have experience with using an electronic signature for each individual in a department? Has there been any problem with attorneys or court systems accepting these e-signatures?

    Thanks!
