1.  Charges for electronic Medical Records

How is everyone charging for Electronic Medical Records.    It was easier with the hard copies as you changed so much per page.   Not sure about electronic.     Thanks.

​Have you checked your state regs?  They usually will have guidance on what you can charge.

I am not referring only to the Patient requesting records in electronic format; I am referring to attorneys, insurance companies, etc that request electronic format.

When we get a Hitech request we calculate our own “reasonable, cost-based fee” and outline that on the invoice. This fee can include only the cost of:

Labor for copying the PHI, whether in paper or electronic form;
Supplies for creating the paper copy or electronic media (e.g., CD-ROM or flash drive);
Postage

I calculated the cost of the envelope, the cd, the sleeve for the cd, the weight of the envelope with the contents (I figured out how much each sheet of paper weighs as well so if there are 4 sheets of papers in w the cd then it would weigh this amount and the price would be this) then the staff calculates their labor time to prepare. I can try and get a pic of what we include on our invoice tomorrow.
